What are my responsibilities as an
advisor to my advisee and to the University?
• Stay informed
about changes to program requirements, policies, and
procedures.
• Keep advisee's
files up-to-date in terms of progress toward graduation.
• Be informed
about campus information in order to answer student
questions.
• Make referrals
to
Campus Resources
as needed.
• Be available
during office hours and keep scheduled advisee appointments.
• Confirm that all
course information on the pre-advise screen
is accurate before entering.
• Act to resolve
advising errors when found.
How do I decide which courses my
advisee should take for the next semester(s)?
First you need to plot all transfer and KU courses listed on
the student's transcript onto the correct program check sheet
(see
explanation of Program Version Numbers). Then, record all
courses taken and the grade earned for each semester.
Make note of all courses with grades of "D" or "F" to
determine the need for repeating courses.
You need to know the courses in your discipline and when
those courses are offered especially those courses that are
offered infrequently. It is important for you to also
know the prerequisites for courses in your discipline and
courses in general education.
Organize the advisee's "needed" courses term by term, toward
the graduation date. Use the program check sheet,
Undergraduate Catalog, and the Course Applicability
for General Education, to confirm that every course
selected is usable for graduation.
How do I know if I have the correct program check sheet
for my advisee?
First review the information on
version numbers. Then
confirm each advisee's program title and version number from
the advisee list or AVMHIS. Identify and insert
appropriate program check sheet into the advisee's file.
How do I advise a student who wants to change his/her
major? •
Discuss choice of majors and the respective changes
in selecting courses.
• Consult
with the prospective chair regarding course selection for
the advisee.
• If the
advisee has already been accepted into the new major, you
can direct the advisee to the
student's newly assigned advisor (transition advisement).
• If the
student is not decided on a new major, refer the student to
the
Career and Services Office for
testing and consultation.
• If the
advisee is coming into your discipline, be VERY careful to
plot the previous and current
course work against the appropriate "new" program check
sheet.
