Sealing Student Records

A. Purpose

The purpose of this policy is to establish guidelines for use by offices who are authorized to seal student records. These guidelines are intended to make the sealing of student records more just and equitable.

B. Scope

This policy applies to all offices that have the capability of sealing student records.

C. Definition(s)

Sealing - The process by which offices restrict access to certain University services. This restriction prevents a student from using the following University services:

Admissions

Course Selection

Procuring Transcripts

Graduation

D. Policy & Procedure(s)

Students must receive timely written notice with a file copy kept when a restriction is placed on his/her records by the restricting office. A notification that threatens to seal a student's records does not satisfy this requirement.

Restriction lists must be reviewed and updated regularly, particularly at the end of the semester, and just prior to the production of registration materials (approximately one month before published course selection dates).

Restricting offices need to be open to remove restrictions on-line during all hours of registration.

If a student satisfies a restricting office's requirement, the restriction on his/her record or account must be removed immediately.

A ten dollar ($10) minimum balance is required prior to sealing a student's record for a financial obligation.

Restrictions may not be overridden via a memo. Overrides must be accomplished by removing the restriction on-line.
