The Kutztown University ID Card

A. Purpose

To enhance a more user-friendly environment for students, faculty, and staff by providing a high quality, single card system that allows efficient access to all card-related services throughout Kutztown University and to seek new and expanded uses of the card through improved advanced technology. B. Scope The policy has a university-wide applicability. C. Definition(s) Terms are defined as needed within this document. D. Procedure(s) The KU card is an official Kutztown University picture ID card. In addition to identifying the relationship to Kutztown University, the card provides access to campus events and activities, residence halls/other buildings, meal plans, flex dollars, Bear Bucks, and library. Meal plans and flex dollars may only be used via the ID card or cash must be used to purchase a meal.

1. Who qualifies for a card?

a. Student
Anyone who is classified as a student in the KU Student Information System.

b. Faculty & Staff
Permanent employees of Kutztown University, defined as receiving benefits, are entitled to a free KU card as a condition of their employment. 

c. Emeriti
Any individual that has been given an Emeriti status by KU is entitled to a free ID card as a courtesy of past employment.

d. Council of Trustees
Any member of the University Council of Trustees is entitled to a free card.

e. Others
Any KU affiliate member on-campus, such as: KUSSI, Foundation, Department of General Services, AVI Foodsystems, and Campus ministries is entitled to a free ID card.

Temporary Employees, Spouses of Faculty/Staff, Alumni, Community Individuals, Terminated Employees, and Adjunct Faculty Members that do not have a current active status with the University do not qualify for KU ID.

2. Expiration Of KU ID

Expires 6 years from start year e.g., start year = 1998 - expires 12/04

 Valid while they still have an active status with the University.

3. Policy on ID Picture taking                                                                                                    
For ID card pictures KU requires individuals to remove any items not worn as part of their daily appearance (i.e. prescription eyeglasses). The only exceptions are items worn for cultural and religious reasons. All bandannas, hats, sunglasses and/or visors, etc. are to be removed before picture taking.

4. Card Fee Structure:

a. Student's First Card
The cost of KU ID is $10 for all students. This includes the cost of the card and administrative cost associated with production. Students that attend the on-campus orientation program do not have to pay a separate $10 ID card fee, it is included as part of the orientation fee. Graduate students pay their $10 fee as part of their application fee. All other students pay a separate $10 fee.

b. Students Replacement Cards
A $15 charge will be placed on the student’s university account when a replacement ID card is issued. The students are allowed two weeks for payment. If payment is not received by due date student records are sealed by the Bursar’s Office. The student continues to receive reminder notices every two weeks until the bill is paid. All payments must be submitted to the Bursar’s Office.

Faculty/Staff/Others
Faculty and Staff are entitled to a free replacement card.

5. Responsibilities as a Cardholder

a. Deactivating or Reinstating KU ID
Faculty/Staff, Students, and other KU affiliates do not have to surrender their cards upon discontinuing their employment/association with Kutztown University. We have an automatic privilege assignment/removal process to enable or disable the ID card. If the card has the banking option disabling the card would not deactivate the banking feature of the card.

b. Reporting a Lost/Stolen Card
 To report a lost or stolen card please call (610) 683-4825 from 8:00 am - 4:00 p.m. (M-F) or (610) 683-4001 after 4:00 p.m. on week days, weekend, and holidays. The University provides 24 hours service for replacement of ID cards. During operational hours (8 a.m.-4 p.m., M-F) the cards can be replaced at the One Card Office, all other times including weekend and holidays at Public Safety. If the ID card is also an ATM card, the individual will be asked their social security number and birth date for verification purposes before the card is canceled. The ATM feature of the card can only be activated at the PSECU Kutztown University E-Center located in the Student Union Building, Rm. 280 during their hours of operation as follows, Fall and Spring semesters Monday 10 a.m.- 4:30 p.m., Tuesday 10 a.m.- 6:30 p.m., Wednesday through Friday 10 a.m.- 4:30 p.m.  These hours will be modified during the summer sessions. 

6. Activity Fee

In order to qualify for activity privileges all students must pay an activity fee. The fee provides the students access to various on and off-campus discounts. This fee is an automatic charge for undergraduates enrolled for more than three credits. For all other students payment of activity fee is optional. All fees are paid at the Bursar's Office, room 225 in the Stratton Administration Building.

All mailings to new incoming and transfer students will direct them to obtain their ID at the New Student Program session. Graduate students will be mailed ID card information separately through the Graduate Office on acceptance of admission.
