Who We Are and What We Do
Student Payroll is a division of the Human Resources office. We are located in the Stratton Administration Building in Room 109. We are open 8am-4:30pm (4pm in summer), and are closed 12-1pm for lunch.

Student Payroll’s purpose is to maintain all student employee records, issue Work Authorization cards, ensure compliance with federal guidelines, process and pay all approved hours entered into e-Time (online time entry system), and distribute paychecks and pay stubs.

General Information about Student Payroll:
All students must possess a Work Authorization (WA) card in order to be eligible to work on campus and be paid. A student needs to present their Social Security Card and other necessary documents to complete an I-9 (for example a US drivers license or school ID) to the Student Payroll office along with completing a New Hire Packet in order to obtain this card.

In accordance with HIPAA and FERPA regulations, all PASSHE employees are assigned a 5-digit personnel number. This number is used for identification purposes in lieu of a social security number. This 5-digit personnel number can be found on your paycheck stub under the heading of Employee ID or can be retrieved in person. This 5-digit personnel number should be on all communications with and forms submitted to the HR office. Our office policy states that we will not electronically communicate your social security number; unless allowed by law, this includes email and fax communication methods.
