NEW STUDENT EMPLOYEES

Please refer to the New Hire Process listed on the student section of the Student Payroll website.  This gives you an overview of the hiring process at Kutztown University.

 

Listed below is a brief directive of the steps a new student employee must take in order to get hired and paid to work on campus.

 

If you have already received your Work Authorization card and have been hired but have not yet started working, please refer to steps 4 & 5.

  1. Visit Student Payroll Office, complete tax paperwork and receive a Work Authorization (WA) card.
    1. Be sure to have documents necessary to complete an I-9 and your social security card.
  2. Show your WA card to potential employers when completing applications.
    1. Search for student employment opportunities via the employment opportunities link on the Kutztown website.
  3. Employers will need the pre-printed number on this card in order to process an online application – this application is submitted to Financial Aid and the Student Payroll office.
    1. Applications can take up to 2 weeks to process.
  4. Visit the PASSHE Account Information section of the Student Payroll website and create your student PASSHE account.
    1. NOTE: If you already have an ID and password for the Financial Aid online system – this will work for e-Time as well.  No need to re-create the password.
    2. Passwords expire every 90 days, please set up a self-serve account NOW so that you can reset this password yourself in the future should you forget it or not change it before it expires.  Instructions and links can be found in the PASSHE account information section of this site.
  5. e-Time – This is our electronic internet based online time entry system – governed and owned by PASSHE.
    1. Print out the e-Time instructions and try to access e-Time.
    2. Once your application has been processed by student payroll your name should appear in e-Time.  This process can take as long as 2 weeks from the date your supervisor enters your application.  If you are concerned that you are not showing in e-Time, please contact your supervisor to see when they entered your application.
    3. Print out a copy of the Pay Schedule – this includes deadline dates for entry into e-Time as well as Pay Periods and Dates.
