W. Bateman called the meeting to order in Room 223 of the Student Union Building at 4:04 PM.

II.    Approval of the Agenda

    M. Perinchief moved, G. Rothermel seconded, to approve the Agenda. The motion passed.
III.    Approval of the Minutes of April 1, 2004
    M. Baguinon moved, D. Cates seconded, to approve the Minutes of the April 1, 2004 meeting. The motion passed.
IV.   Committee and Task Force Reports
    A.    Academic Standards and Policy Committee

    1. Academic Forgiveness Policy The Senate Executive Committee moved approval of the following proposed changes to the Academic Forgiveness Policy effective immediately upon approval by the University President:

      Replace the sentence "Upon readmission, students who request academic forgiveness will start with a quality point average of 0.00" by Upon readmission, students who are granted academic forgiveness will start with a grade point average of 0.00. Academic forgiveness may only be applied once to a student's academic record. A student who receives academic forgiveness must take at least 30 additional credits of graded coursework at KU before a degree will be granted.

      C. Yeager moved, D. Cates seconded, to amend the motion by changing 30 additional credits to 24 additional credits. The motion passed.

      Amended motion: Replace the sentence "Upon readmission, students who request academic forgiveness will start with a quality point average of 0.00" by Upon readmission, students who are granted academic forgiveness will start with a grade point average of 0.00. Academic forgiveness may only be applied once to a student's academic record. A student who receives academic forgiveness must take at least 24 additional credits of graded coursework at KU before a degree will be granted.

      The motion passed as amended.


    2. Academic Warning and Probation Policy The Senate Executive Committee moved approval of the following changes to the Academic Warning and Probation Policy effective immediately upon approval by the University President:

      Current wording for Academic Warning:

      In an Academic Warning semester, the student:

      • is required to see his/her faculty advisor and to use University support services, such as the office of University Counseling Services, the Department of Developmental Studies, or the Advising Center to remediate academic difficulties.


      • may register for no more than 13 credits for the subsequent semester. With permission of the office of University Counseling Services, the Department of Developmental Studies, or the Advising Center, a student may register for more credits.


      • may not request a Leave of Absence.

      Proposed wording for Academic Warning:

      In an Academic Warning semester, the student:

      • is required to see his/her faculty advisor and to use University support services, such as the Advising Center, to remediate academic difficulties.


      • may lose eligibility to receive Financial Aid if in the 5th semester or beyond.


      • may register for no more than 15 credits for the subsequent semester. With permission of the Department Chair of the student's program or the Advising Center, a student may register for more credits.


      Current wording for Academic Probation:

      During the semester of Academic Probation the student:

      • is not considered to be in good academic standing.


      • may register for no more than 13 credits for the subsequent semester. With permission of the office of University Counseling Services, the Department of Developmental Studies, or the Advising Center, a student may register for more credits.


      • is required to see his/her faculty advisor and to use the University support services, such as the office of University Counseling Services, the Department of Developmental Studies, or the Advising Center to remediate academic difficulties.


      • may not request a Leave of Absence.


      • may lose eligibility to receive Financial Aid if in the 5th semester or beyond.


      • is prohibited from participating in any intercollegiate activities or leadership positions in student organizations.

      Proposed wording for Academic Probation:

      During the semester of Academic Probation the student:

      • is not considered to be in good academic standing.


      • is prohibited from participating in any intercollegiate activities or leadership positions in student organizations.


      • is required to see his/her faculty advisor and to use University support services, such as the Advising Center, to remediate academic difficulties.


      • may lose eligibility to receive Financial Aid if in the 5th semester or beyond.


      • may register for no more than 15 credits for the subsequent semester. With permission of the Department Chair of the student's program or the Advising Center, a student may register for more credits.

      L. Ladd Kidder moved, E. Button seconded, to amend the motion by changing "required" to "expected" in the third bulleted item. The motion failed.

      The motion to approve the proposed changes to the Academic Warning and Probation Policy passed.


    3. Policy on Calculating the Grade Point Average (GPA) - The Senate Executive Committee moved approval of the following policy relative to the calculation of the grade point average (GPA), effective immediately upon approval by the University President:

      Proposed Policy on Calculating the Grade Point Average (GPA):

      The GPA will be calculated on the basis of courses taken at KU for which a letter grade is given. Grades for courses taken at other institutions cannot be used in the calculation of the GPA at KU, and the grades for courses taken at other institutions will not appear on official KU transcripts. In addition, GPA (Grade Point Average) rather than QPA (Quality Point Average) will be the preferred acronym for a student's overall course average at KU.

      L. Ladd Kidder moved, P. Devlin seconded, to amend the motion by adding "Except where mandated by Board of Governors Policy" to the beginning of the first sentence of the proposed policy. The motion passed.

      The motion passed as amended.

    B.    Committee on Committees

      M. Perinchief moved, L. Ladd Kidder seconded, approval of the list of committee appointments. The motion passed.

    C.    General Education Restructuring Team

      D. Lynch indicated that the final Food for Thought lunch session will be held on April 30. She further indicated that the goal of the team is to work on a model over the summer with a referendum being held in December.

    D.    Strategic Planning and Resources Committee

      No report.

    E.    Enrollment Management Committee

    1. Comments Section of the Student Retention Reports copies of the Comments Section of the previously approved Student Retention Report were distributed for informational purposes. The five optional comments are: See instructor, Unprepared for class, Misses deadlines, Needs a tutor, and Works below ability.


    2. Year-End Report - C. Wells, chairperson of the Enrollment Management Committee, presented a report on the activities of the committee during the past academic year. She also distributed for informational purposes copies of a document prepared by the committee entitled "Early Intervention Initiatives."

    F.    Academic Technology Committee

      Technology Assessment Plan D. Crider, chair of the Academic Technology Committee, distributed copies of the Technology Assessment Plan which is a part of the Academic Technology Strategic Plan. It was moved by J. Smith and seconded by D. Cates to endorse the Technology Assessment Plan. The motion passed.

V.  Old Business

    There was none.
VI.    New Business
    A.    Approval of the Candidates for May 2004 Graduation

      E. Beaven moved, G. Rothermel seconded, to approve the list of candidates for May 2004 graduation, pending completion of all degree requirements. The motion passed.

    B.    Appreciation to Morris Perinchief

      W. Bateman and the members of the University Senate expressed gratitude to M. Perinchief for his service as Vice President to the University Senate. W. Bateman presented him with a potted flower as a token of appreciation.
VII.    Adjournment
    G. Rothermel moved, D. Johnson seconded, to adjourn the meeting. The motion passed.

    The meeting was adjourned at 5:40 p.m.
