Web registration background information

Kutztown University of Pennsylvania's online WEB registration and student system is in the final stages of development. In 1998 Calvin Benne began researching and testing of different software that would enable our mainframe to be used on the Web.  The initial phases were less than satisfactory until the UNISYS system was upgraded in beginning of 2000. This was the breakthrough needed to forge the project ahead. Included with the upgrade was COMTI. A software package which enabled the mainframe to be used as a server in a client-server relationship.  Programming has been ongoing ever since.

In November 2001 the first selected group of students registered through the web and evaluated the process and system. Other pilot groups of students, both undergraduate and graduate students, also registered for Spring 2002 and/or Fall 2002.   Their input was utilized in the development of a viable on-line student information and registration system.  With this information, the analyst worked with a Web Advisory Task Force.  The membership comprised of varying faculty, administrators and students. This group reviewed the On-Line Student process and recommended the version to be used for Spring 2003 registration. Many enhancements and features have been added to the initial system.  The Web Advisory Task Force will be requesting your feedback and input after full implementation this Fall.  Click here for current membership information.   The following two sections reflect the results of the team's hard work.

"Profs Online" is a graphically designed web based system intended to replace the common mainframe functions (trancodes) used by Kutztown University faculty department chairs, deans, administrators and department secretaries.

Registration Appointment Breakdown

Schedule booklet will be distributed, as in the past.  Course information also will be available on the Web. Directions will be printed in the schedule booklet and also be available on the web.

Advisement/Course Selection forms will no longer be printed, as the pre-advisement screen will replace the form.   See additional information below.

Many K-scans will be available on demand at the departments.  it requires that the department has a network printer and that the department forward the IP address to IT. Also if they have not done so, they will need to request authorization for the KSCAN trancode. Transcripts also will be available through the same procedure.

Advisee should make an appointment with advisor (within the first 3 weeks of the Registration period).  Advisor(s) will be listed at the On-line Student Services website (instead of posting them across from the post office).

  • Select courses
  • Enter courses during assigned scheduling period
  • Print schedule from website

Directions for Dual Majors, Secondary Education Majors are the Same as above

  • Recommended to meet with second advisor

Change in major or concentration

  • See new one if listed on form

Student should inform his/her current Academic Advisor of the change in major or concentration.   The student should obtain a copy of his/her Undergraduate Transcript via Student Online Services website.   The student must take a copy of his/her Undergraduate Transcript or KSCAN (if available) and the approved Change Form to the advisement appointment with the new Academic Advisor.

New Academic Advisor – The name of the student's newly assigned Academic Advisor is listed on the web advisement screen.  The student must consult with his/her new Academic Advisor to discuss his/her course selection for the next semester See new advisor-Forms available via the Web

Directions for Part-time students

  • Students are to register via the web during his/her registration period.

IMPORTANT ADDITIONAL INFORMATION

A mechanism will be operational to denote advisement required for an advisee via placement of a RESTRICTION.   The RESTRICTION is to be placed prior to the start of the Advisement period.   To be user friendly, advisors will be able to select placing and removing restrictions on each advisee individually or select all advisees.   The restriction options available to advisors will be:

A restriction may be placed prior to scheduling of courses by those advisors who want to require advisees to meet with them before scheduling any courses

A restriction may be placed to indicate that an advisee has to meet with the advisor after the student has scheduled his/her courses. Lists of students with schedules and no advisement will be generated, upon request

Advisor Trancodes

1. Use FACBAT to run KSCAN, transcript or advisee list batch reports of your advisees.

2. Use ADVCTL to place a Registration restriction message for your advisees who have you listed as the first advisor.

3. Use PREADV to list recommended courses for advisee to schedule. Also may add message to the note section of this screen.

4. The ADVHIS displays advisement history of courses and messages per semester by advisee.

5. TRMINQ has been updated to display a course by course listing of a student's accepted transfer credits to KU.

6. A web version of TCFIND (transfer course evaluations by institution). It is the"Transfer Course Evaluation"option at the Registrar's Office home page: http://www.kutztown.edu/registrar

Students will use Online Student Services to view advisor assignments, pre-advised courses, and registration restrictions. They will use the system to schedule available courses.

More Detailed Information:

1. To request printed copies of KSCANs, transcripts and/or advisee lists use FACBAT. You may select to print copies of all advisees. For individual student transcripts or different advisee list options use FACBAT. As in the past, for individual KSCAN reports use the KSCAN trancode.

2. A general advisement message is displayed for all undergraduate students. Use the ADVCTL transcode to denote a different advisement message for an undergraduate advisee. The RESTRICTION is to be placed prior to the start of the Advisement period. Restrictions are to be set by the first advisor only. Advisee lists can be retrieved by undergraduate, graduate and transient. They will display advisees, who are linked to you as the primary advisor unless it is indicated by adding as"S" that only advisees linked as second advisor should be listed. The first advisor (or designee)listed for a student may set and remove restrictions on each advisee individually or by all advisees listed. The restriction options available are: "S"=Advisee is required to meet with advisor before scheduling any courses. OR "R"= Advisee may schedule courses but is required to meet with the advisor by the end of the registration period after the student has scheduled his/her courses.

3. Additional information on this screen includes: program version number, major(s), minor(s), current GPA, number of credits completed and registration time if set. Also you may select to switch to the PREADV screen from this screen and vice versa.

4. Lists of students with schedules and no advisement can be generated upon request to the Registrar.

5. Use the PREADV transcode to indicate recommended courses for each advisee. Indicate department and course number in the space specified. You also may indicate department only, or department and course level to see a list of courses for that department. This list will indicate whether a course is currently listed as being offered for the upcoming semester. After selecting a course or entering the department three letters and number, the course title and credit information will appear.

6. Some courses were added for first year students at the time the first semester courses were scheduled. In addition, students with a GPA below 2.0 may have course suggestions and messages placed by the Advisement Center faculty.

7. There also is a space to indicate alternate courses. A course must be listed, in order to use a note section to write a message to the student. Each box allows up to 60 characters.

8. Second Advisors also may add recommended courses for their advisees. At the time of creating the first term freshman schedule, the Orientation scheduler also would be able to enter the suggested courses for the second semester freshman year. In addition, faculty advisors may choose to use this option when seeing a student prior to the designated Advisement period, as well as during the normal advisement time. ADVHIS option provides an audit trail for the advisor that would reflect the previously utilized paper copy Advisement/Course Selection form.

9. Students with multiple advisors will have only the primary advisor place a restriction. The student is encouraged to see both advisors. Advisee should make an appointment with advisor (within the first 3 weeks of the Registration period).

10. Advisor(s) assignments will be listed at the On-line Student Services website.

11. The advisor, chair of their department, secretary of their department and the Registrar/staff will have the authority level to release or place the Registration Restriction.

Students with multiple advisors will have only the primary advisor place a restriction.  The student may see both advisors.

Advisers may request a list of currently enrolled students without a schedule (one week prior to the end of the scheduling period).

Advisement should begin one week prior to the start of Web Registration.

Scheduling should be spread out over a 20-day period.

Priority student scheduling will begin on the first day of scheduling.  The current policies for defining and allowing priority scheduling do not change.

Exception scheduling (overrides for closed course, prerequisite, time conflict) should be done at the department by the chair or secretary.

If it is an open registration period for a student, scheduling of courses at the department at the time of advisement is another option.

PIN numbers are issued with the Admissions letter. The Registrar's Office staff will conduct the initial training sessions for new students as part of the Connections program.




Requesting a closed course or a controlled\ courses outside of your major/minor concentration

  • Use the"Permission to Enroll in a Closed or Controlled Course Form" which is available at each department and the Registrar's Office.
  • If seeking permission for a closed course or your major/minor, concentration does not qualify you to enroll in a controlled course, you may seek permission to enroll from the Department Chair of the department Teaching the course.  The list included on the pages at the end of these instructions indicates which courses are controlled and what majors, minors, or concentration qualifies student enrollment.
  • Approved additions are scheduled at that academic department.

    Trancodes for Faculty As Faculty members rely more heavily on the KU data base for needed information and/or to perform necessary functions, they must use a variety of trancodes that provide them with the appropriate access. This reference sheet is intended to assist the Faculty in this process.


    NOTES:

    1. Please use the"+"key to"xmit"on a PC. Or, use the"enter"key to"xmit"on a MAC.
    2. With some trancodes, it is necessary to use the five digit computerized code for specific academic terms. Use the prompt screen on the trancode, RETERM, if you need guidance. Always check that the information accessed is from the desired academic term.
