Are you looking to hold an event or meeting on Kutztown University's campus?  The Office of Conference and Event Services is a one stop shop for your conference or event needs.  One phone call or email is all that it takes to make arrangements for your event.  We do all of the leg work for --room reservation, work orders/set-ups, catering arrangements-- there is no need for you to try and track down different departments on campus.

Requirements to hold a conference/event at Kutztown University:

The university requires a contract between the organization requesting facility usage and the State System of Higher Education. In order to process this contract, we will need all of the following:

  • the official name of the organization or the individual's full name
  • an address (including a street address, city, state and zip code)
  • a contact telephone number
  • a contact name (usually person signing contract)
  • either the federal identification number of the organization or the contact person's social security number

The outside organization must provide liability insurance (for itself and all of its participants in the conference/event) for a minimum of $1,000,000.  The university needs to be listed on the policy as additionally insured for the time the conference/event is on campus.  More detailed insurance information (and he required University Harmless Agreement) can be located here.

Paperwork and Deposits:
All paperwork must be completed in full and must be on file in the Office of Conference and Event Services.  Deposit schedule - $500 with receipt of contract, 25% of estimated invoice 30 days before the event date, 50% of estimated invoice on the day of the event, and the remaining balance will be invoiced after your event.

All fees for utilizing the campus of Kutztown University are reviewed and revised on an annual basis. All fees are recommended by the Director of Conference and Event Services AND approved by the university's Council of Trustees.
