Graduate Clerical Assistant

The graduate clerical assistant position in the Department of Counseling and Psychological Services (CPS) is open to Kutztown University graduate students, preferably in the fields of counseling/psychology, student affairs, or social work for approximately 20 hours per week. This is a wonderful opportunity for graduate students in these programs to gain exposure to the field and acquire relevant work experience.

  • The clerical assistant works with confidential information and must be familiar with and agree to abide by standards concerning privacy and confidentiality of the American Psychological Association, the American Counseling Association, and the National Association of Social Workers. 
  • The person in this position interacts both in person and on the telephone with a variety of people, including KU faculty and staff from CPS and other offices on campus, graduate interns, student clients, parents of students, and people from the community.  Applicants should possess excellent interpersonal skills, oral and written communication skills, and an outstanding attention to detail.
  • Computer skills are desired, including programs such as Word, Power Point, Publisher, and Excel.  Skills in website management are also helpful.


Students who are considering applying for the clerical assistant position should be aware of the unique qualities that will make them a good fit for working in our office.  In many cases, the person in this position is a visitor's first contact with CPS, and there may be occasions when a student will arrive at CPS "in crisis'; therefore, applicants should be comfortable with managing challenging interpersonal situations and seeking assistance from professional staff as needed.  There are also times when the office is quite busy and the position requires a person who is able to prioritize assigned duties.

Please note: This is not a graduate assistantship, as there is neither a tuition waiver for coursework nor a requirement to carry nine credits per semester. CPS is open during the daytime hours (8:00 a.m. - 4:30 p.m., extended hours until 6:00 p.m. on Tuesdays to accommodate previously schedule appointments only) and needs a reliable graduate student who is able to work various requested hours Monday through Friday.


Primary responsibilities are as follows:

  1. Greet visitors to the office - Involves marking attendance on the computer, letting counselors know when clients arrive, scheduling appointments, directing students in crisis to an available counselor, giving students forms for completion appropriate to the type of visit.
  2. Answer the telephone - Involves scheduling appointments, taking messages for faculty and counselor trainees, directing calls to other offices, and answering questions regarding the services available through CPS.
  3. Manage paper and electronic files for student clients.  
  4. Perform a variety of minor duties, including, but not limited to, delivering items to other offices on campus, hanging posters, mail retrieval and delivery, maintenance of intake and referral binders, data entry of statistics, in addition to all other duties as assigned.
