Description
The Undergraduate Research Committee reports to the University Senate. Its mission is to enhance the scholarly growth of Kutztown University students by providing funding to conduct research or produce creative works and present at academic conferences. Meetings: As needed. Terms: 2 years. Appointees: 15 of the 16 members.

MISSON
The Undergraduate Research Committee reports to the University Senate. Its mission is to enhance the scholarly growth of Kutztown University students by providing funding to conduct research or produce creative works and present at academic conferences.

COMPOSITION AND TERMS OF APPOINTMENT
- Composition
- Faculty representatives are appointed, from each of the four undergraduate colleges as well as the University College, by the Committee on Committees.

- Six representatives from the College of Liberal Arts and Sciences are appointed, one from Social Sciences, one from Humanities, two from Natural Sciences, one from Mathematics, and one at-large.
- Two representatives from College of Business are appointed, one from Business Administration and one from Sport Management.
- Two representatives from College of Education are appointed, from two different departments.
- Three representatives from College Visual & Performing Arts, from three different departments.
- Two representatives from the University College (honors, TRIO, Upward Bound, Academic Advising and Student Development, Student Success and Academic Excellence, the Center for Engaged Learning, and the Writing Center).

- The Assistant Provost for Research and Grants, or Office of Grants and Sponsored Projects designee.
- Faculty representatives are appointed, from each of the four undergraduate colleges as well as the University College, by the Committee on Committees.

- Representatives serve for a staggered 2-year term.
- The Chairperson shall be elected by committee members.
- The representative from the Office of Grants and Sponsored Projects serve an indefinite term of office.

DUTIES
-
Committee members’ responsibilities:
- Attend meetings.
- Read all proposals assigned and be ready to discuss them.
- Inform chairperson if unable to attend a meeting, and provide written comments for all proposals.
- Provide suggestions for revisions to the guidelines and to the proposal review process.
- Perform committee duties as assigned.
- Chairperson’s responsibilities:
- Schedule meeting times.
- Select which committee members will review proposals. Not all members will review all proposals. Each proposal shall be reviewed by no less than 3 committee members.
- Provide committee members with applicant proposals to review in a timely manner before each meeting.
- Provide award information to the Office of Grants and Sponsored Projects.
- Answer questions from faculty mentors and student researchers.
- Recognize the service of committee members, by providing an end-of-year letter to each member.
- Provide a yearly report of actions taken to the Senate.
- Coordinate committee support with the Office of Grants and Sponsored Projects.

Office of Grants and Sponsored Projects responsibilities
- Maintain website.
- Receive proposals and provide access to the Chairperson.
- Sends award letters and supporting award documentation to students and research mentors.
- Assist students with understanding the expense and reimbursement process.
- Process Direct Pay forms.
- Maintain a list of proposals and awards.

MEETINGS
- The committee will meet as necessary. Monthly meetings to review and discuss proposals are expected.

VOTING
- Voting: all members have full voting privileges
- Motions are passed with a simple majority of those present (or voting by proxy).
- A member not able to attend a meeting may email comments and designate another member to vote by proxy on their behalf.

RULES OF ORDER
- Robert’s Rules of Order will govern the committee’s procedures in all cases where applicable.
- A quorum will consist of a simple majority of voting members of the full committee. A quorum is needed to hold committee meetings to conduct committee related business (e.g., revision of guidelines and process). A quorum is not needed for the proposal review and award process, or the meetings used for that process.
- In order to have a vote, there must be a quorum.
- Amendment of the Bylaws requires a two-thirds majority of the voting membership.
