Student Employment and Payroll

Student Payroll's purpose is to maintain all student employment records, issue work authorization cards, comply with applicable federal guidelines, and ensure timely payment of all student wages earned.

Students may NOT work on campus without having first obtained a work authorization card and starting the series of background checks.

  • DESCRIPTION OF STUDENT PAYROLL FORMS

    Work Authorization Card

    The work authorization card shows proof that a student has completed the necessary payroll paperwork and is authorized to work on campus.

    To receive a work authorization card, a student must show that he/she is eligible to work in the United States by producing documents required to complete Form I-9, Employment Eligibility Verification. A list of acceptable documents is found on the USCIS website.

    Local Services Tax Form

    Employees earning less than $12,000 per year may be eligible for exemption from this tax. Please see the form for more details.  This form is in the working documents packet.

    Direct Deposit Form

    A direct deposit form is a document that authorizes your employer (KU payroll) to send money to a bank account by simply using the routing and account numbers.  For security purposes you must return this form in person to Human Resources at the Kemp Building.

    eTime

    The PASSHE system where students enter hours worked and supervisors approve those hours for payment.  You may log in through the e-Time button located on the top of the Student Employees/Payroll webpage.

    Pay Schedule

    The pay schedule shows eTime processing deadlines, approving students' hours in eTime, pay period and pay dates.

  • STUDENTS

    Congrats!  After you've been hired, you may report to Human Resources at the Kemp Building to begin your paperwork in person or start with step 1 below.

    1. Print working documents and obtain documents for the I-9 Form verification (acceptable documents for I-9)
    2. Bring completed working documents with I-9 documents to complete packet at the Kemp Building
    3. Receive working authorization card* in Human Resources and show your supervisor
    4. When you receive an email from Student Payroll, read and follow instructions to begin child abuse clearance and STOP at payment code, save and exit
    5. Schedule your fingerprinting appointment
    6. Report to Student Payroll in the Kemp Building at your fingerprint appointment with work authorization card and acceptable ID (ie, driver license, passport, etc.) for fingerprinting
    7. When FBI clearance result arrives, open results and bring your results to Human Resources at the Kemp Building within 90 days!

    *The stamped work authorization card shows proof that a student has completed the necessary payroll paperwork and is authorized to work on campus.

  • SUPERVISORS

    After a student is hired, the supervisor must submit a STUDENT EMPLOYMENT APPLICATION before the student may begin working.
